Definitions

“Company”: The Edinburgh Event Company.

“Hirer”: the person or organisation hiring the arcade machines.

“Equipment”: arcade machines and any accessories supplied by the Company.

“Hire Period”: the agreed start and end dates/times for the hire.
Acceptance
-
These terms govern all Equipment hires. By accepting delivery or taking possession of the Equipment the Hirer agrees to these terms.

Booking, Payment & Deposit
-
A booking is confirmed on receipt of the Company’s written confirmation and any required deposit.

Full payment and any security deposit are due as stated on the invoice. The Company may withhold Equipment until payment is received.

Delivery & Collection
-
The Company will deliver and collect Equipment at agreed times/locations. Any changes must be agreed in writing.

The Hirer must ensure safe, accessible space for delivery/collection. Additional charges may apply for delays or difficult access.

Use & Care
-
The Hirer must use Equipment only for its intended purpose, follow operator instructions, and not permit misuse, modification, or relocation without written consent.

The Hirer is responsible for supervising the Equipment and ensuring competent operation during the Hire Period.

Damage, Repair & Replacement
-
The Hirer is responsible for loss of or damage to Equipment from any cause while in the Hirer’s possession, excluding fair wear and tear.

If Equipment is damaged but repairable, the Hirer shall pay the Company’s reasonable cost of repair. If Equipment is damaged beyond economical repair or is lost or stolen, the Hirer shall pay the Company the full replacement cost (market value at time of loss) plus any reasonable ancillary costs (transportation, installation).

The Company will provide itemised invoices for repairs or replacement; payment is due within the period stated on the invoice.

Security & Insurance

The Hirer is strongly recommended to maintain adequate insurance covering damage, theft, loss and third‑party liability for the Hire Period. The Company may require proof of insurance for certain hires.

Liability & Indemnity

The Company’s liability for any claim arising from the Equipment is limited to the hire charges paid for the Hire Period.

The Hirer indemnifies the Company against all claims, loss, damage, costs or expenses arising out of the Hirer’s use, possession or control of the Equipment, except to the extent caused by the Company’s negligence or willful default.

Breakdowns & Faults

The Company will endeavour to repair faults promptly. Where faults are caused by Hirer negligence or misuse, repair/replacement costs are payable by the Hirer.

If Equipment cannot be repaired within a reasonable time, the Company may, at its option, provide a replacement of equivalent specification or terminate the hire and refund any pro rata hire charges for the non‑delivered period.

Cancellation & Changes

Termination
-
The Company may terminate the hire immediately if the Hirer breaches these terms, uses Equipment unlawfully, or if continued hire would risk damage or injury. On termination the Hirer must return the Equipment immediately and remain liable for costs including repair/replacement.
